What is a Salary Slip
A salary slip is a monthly statement from an employer. It shows what an employee earned, what was deducted, and what was paid for one pay period.
In offices it is also called a payslip or pay advice. The three names point to the same sheet. The employer issues it after payroll for that month. The employee keeps it as proof of pay.
A clear slip names the company and the person. It states the month, paid days, each earning, each deduction, then gross pay and take-home pay. Many slips also show a PF number, PAN and a bank line so the credit can be matched.
Who issues it? The employer does. A contractor invoice is not a salary slip. A director's drawing from a current account is not a salary slip. If the person is on the payroll, they get a monthly breakdown. If they are a vendor, they get a bill. Mixing the two files confuses banks and GST desks.
A salary slip is not Form 16. Form 16 is the yearly TDS certificate. It is not a joining letter. It is not a salary certificate letter for a loan desk. It is not an experience letter, which confirms tenure and role rather than one month's pay. Those documents have other jobs. The monthly slip is the breakdown of one month's employee salary.
Schools, clinics, shops and software firms all use the same idea. The numbers change. The story does not: this is what we paid you, and this is how we got there. Indian labour practice treats a written wage record as normal, even when a small firm has no software yet. Paper or PDF both count if the employer issued them.
For a staff-wide run, see ZemERP payroll software and the HRMS and payroll manual. Compare yearly tax paper with the monthly slip in salary slip versus Form 16 (internal placeholder).
Why a Salary Slip is Important
A salary slip protects both sides. The employer can show how net pay was built. The employee can show income without opening a bank app at a counter.
For the employee
Banks often ask for the last three months of payslips before a loan or credit card. Landlords may ask for the same. Visa files and background checks use slips to confirm the job and the pay. PF or ESI queries are easier when the monthly deduction is on paper.
Income-tax return work is easier too. The monthly TDS line is a check against Form 16 at year end. If March TDS on the slip does not match the annual certificate, you can spot the gap in April, not in a notice later. Rent HRA claims also start from what was actually paid, which the slip records.
For the employer
A dated slip reduces disputes. If someone asks why take-home fell, you can point to extra leave without pay, or a higher TDS line, instead of arguing from memory. Internal audit and labour inspections also expect a trail from attendance to credit.
Indian payroll is not one tax. PF, ESI, professional tax and income tax can all sit on one sheet. If the slip is missing, staff cannot see which line moved. That is how trust breaks at month end. A one-page table costs little and saves a week of chat threads.
Issuing a slip does not replace statutory filings. EPFO, ESIC and income-tax portals still need their own returns. The slip is the employee-facing copy of the same month. Read current notes on the EPFO website (opens in a new tab), the ESIC website (opens in a new tab) and the Income Tax Department site (opens in a new tab). For state professional tax, use your state commercial-tax portal (external placeholder).
Salary Components Explained
Salary components are the named lines that add up to gross pay or take-home pay. In India they are split into earnings and deductions. The mix is set in the salary structure, not invented on the slip.
Earnings on a typical Indian slip
Basic salary is the core monthly wage. Many PF calculations start from basic, and sometimes dearness allowance. If basic is too low compared with the rest of pay, PF and bonus formulas can look odd to an auditor. Keep the split the same as the offer or increment letter.
HRA (house rent allowance) helps with rent. Tax treatment of HRA depends on rent paid, city and salary. The slip only shows the amount paid that month. It does not decide the tax-free part. That calculation lives in the tax workings, not in the layout.
Special allowance is a balancing line. After basic, HRA and other named heads, leftover monthly pay often sits here. Some firms also name conveyance, medical or leave travel. If your structure uses those heads, put the month's amount in special allowance or in notes so the total still matches gross. This generator uses one allowance line on purpose, so a one-off slip stays short.
Bonus and overtime are extra. Bonus may be festival or performance pay. Overtime is extra hours, usually tied to attendance. Do not hide overtime inside basic. A later PF or wage query will ask for the extra hours, and a blended basic cannot answer.
Deductions on a typical Indian slip
PF is Provident Fund. The employee share is a deduction on the slip. The employer share is often not shown as take-home, because it is not paid to the person that month. This generator prints the amount you enter. It does not apply EPFO ceilings. Confirm rates on the EPFO portal (opens in a new tab) and in our PF-on-payslip guide (internal placeholder).
ESI is Employees' State Insurance. It applies only when wages sit under the ESI limit and the unit is covered. If the person is not covered, the ESI line should be zero. Eligibility is a payroll decision, not a layout decision. See the ESIC portal (opens in a new tab).
Professional tax is a state levy on employment. Maharashtra, Karnataka, West Bengal and some other states charge it. Slabs differ. February in some states has a different amount. Enter that month's figure. Do not copy last month blindly.
Income tax on a monthly slip is usually TDS on salary. It is not the full-year tax computation. Form 16 still comes at year end. Put the month's TDS in the income-tax line. For how GST invoices differ from payroll TDS, the GST calculator is a separate tool.
Other deductions can be a loan recovery, canteen, or a one-time recovery. Name them in notes if the label is vague. Staff should not have to guess. A silent “other” of several thousand rupees is how payroll tickets start.
Gross vs Net Salary
Gross salary is pay before deductions. Net salary is what is credited after deductions. Cost-to-company (CTC) is wider still. CTC can include the employer PF share, gratuity and benefits that never hit the bank that month.
| Term | What it includes | What it is not |
|---|---|---|
| Gross salary | Basic + HRA + allowance + bonus + overtime for the month | Not CTC. Not take-home. |
| Total deduction | PF + professional tax + ESI + income tax + other deductions | Not the employer PF share, unless you add it. |
| Net salary | Gross minus total deduction | Not annual income. Not Form 16. |
| CTC | Net pay plus employer costs and yearly benefits, spread over the year | Not a line you must print every month. |
On this page the live totals use a simple rule. Gross is the five earning lines. Deductions are the five deduction lines. Net is gross minus deductions. Empty boxes count as zero. If deductions exceed gross, net is shown as zero so take-home never prints as a minus.
Worked example (illustration only)
These figures are a teaching example. They are not a PF, ESI or tax computation. Do not copy them into a live slip unless they match your own workings.
| Line | Amount (INR) | Role |
|---|---|---|
| Basic + HRA + allowance + overtime | 45,000 | Gross for the month |
| Employee PF + professional tax + TDS | 3,500 | Total deduction |
| Amount credited | 41,500 | Net salary |
People mix these words in offer letters. A candidate hears “six lakh CTC” and expects that in the bank. The monthly slip is where the story becomes honest. Walk through one month with them. It saves a resignation later. Annual CTC divided by twelve is a planning number. It is not the net credit.
Salary Slip Format
There is no single government template for a private-sector salary slip. A useful Indian format still has the same blocks, in a stable order, so banks and staff can find a line fast.
- Company logo, legal name and address.
- Title such as Payslip or Salary slip, plus the pay month.
- Employee name, ID, department, designation, joining date, working days and paid days.
- Earnings table and deductions table, with gross and total deduction.
- Net salary in figures and, for rupees, in words.
- Optional notes, then signature and company stamp.
Paid days matter. A slip that only says “March” cannot explain a short credit after unpaid leave. PAN and UAN help PF and tax desks. They are useful, not magic. Wrong numbers on those lines cause more harm than leaving them blank.
A4 portrait is the size most printers and PDF folders expect. The generator on this page follows that sheet. Logo, stamp and signature stay with the tables so the file still looks like a letter, not a screenshot of a form. Keep the company name identical to bank accounts and GST records where those apply. A trading name that does not match the legal name slows a loan file.
Language can be English, Hindi, or bilingual. Banks in India read English numbers without trouble. What they need is a stable month, a matching name, and totals that add up. Fancy borders do not help. Clear tables do.
For a longer HR layout discussion, see the payslip format notes (internal placeholder) and HRMS software when you want stored templates for every employee.
Payroll Process
Payroll is the monthly run that turns attendance and salary masters into bank credits and payslips. The salary slip is the last page of that run, not the first.
- Lock attendance, leave and loss of pay for the period.
- Read the salary structure: basic, HRA, allowances, statutory flags.
- Compute earnings, including overtime or a declared bonus.
- Compute PF, ESI, professional tax and TDS using current rules and proofs.
- Credit net pay to the bank file.
- Issue the salary slip and keep a copy with payroll.
- File statutory returns on the government portals when due.
Cut-off dates keep this calm. If attendance locks on the 25th, overtime after that date belongs in the next month. Publishing a slip before the bank file is ready creates two truths. Publish after the credit, or on the same day, so the PDF and the SMS from the bank tell the same story.
Small teams sometimes reverse this. They type a net figure into a spreadsheet and back-solve the rest. That breaks when PF or TDS changes. Start from components. Let net fall out. The calculator above follows that order for one person. HR and payroll in ZemERP follows it for the whole roster.
Payroll is not GST. GST sits on invoices for goods and services. Salary is not a GST invoice. Keep the two books apart so a vendor bill is never used as a payslip. The same person can be on payroll in the morning and raise a professional invoice in the evening only if the contracts say so. The documents still stay separate.
How to Generate a Salary Slip
You can generate a salary slip in three ways: by hand in a spreadsheet, from payroll software, or with the free form on this page. The form is for one employee and one month. It does not log in to EPFO.
To make a slip here:
- Open the generator at the top of this page.
- Enter company name, address and, if you have it, the logo.
- Enter employee name, ID, department, designation and joining date.
- Set the pay period, working days and paid days.
- Fill earnings, then PF, professional tax, ESI, income tax and other deductions.
- Check gross, total deduction and net on the live preview.
- Upload a signature and stamp if you want them on the sheet, then print or download the A4 PDF.
Gather the month's PF and TDS from your payroll workings first. The form will not invent them. Type amounts to two decimals if paise matter. Then read the net line in figures and, for rupees, in words. If those two disagree in your own mind, stop and fix the inputs.
A spreadsheet is fine for one or two people if you keep formulas and a paper trail. It fails when twenty names share one file and someone overwrites March. Payroll software stores masters, attendance and past slips. That is the jump to payroll software. Browse other free HRMS tools while you are here. The five on-page steps under “How to create a salary slip” match the buttons on the form. This list adds the homework around those clicks.
Benefits of Issuing a Salary Slip
The cards further down this page list why the free generator is easy to use. This section is different. It is why issuing any honest slip helps the organisation, whether you print from here or from a full payroll run.
- Staff can explain a short credit without a call to HR.
- Loan and rent files move faster when three months of slips match the bank credits.
- PF and ESI queries start from a printed month, not from chat history.
- Managers see unpaid leave in paid days, not as a rumour.
- A signed PDF is easier to archive than a forwarded WhatsApp image.
- New joiners learn the salary structure from a real month, not from a rumour about CTC.
A slip also sets a tone. People who never see a breakdown assume pay is arbitrary. A one-page table is cheap trust. It does not replace a fair structure. It does make a fair structure visible. Quiet firms still benefit: even a five-person shop can show a dated net pay that matches the bank.
None of this requires a public website. A PDF in mail, or a print at the desk, is enough if the figures are true. What fails is silence: a credit with no explanation, then a resignation letter.
Common Mistakes on Salary Slips
Most broken slips are not design problems. They are data problems. These are the mistakes we see when teams type a payslip in a hurry.
- Wrong pay month, or a month that does not match the bank credit date.
- Paid days left blank after unpaid leave, so net pay cannot be explained.
- Gross copied from CTC instead of from that month's earnings.
- PF or ESI typed from last month when the wage or coverage changed.
- Professional tax copied across states, or across February's special slab.
- Income tax mixed up with Form 16. The slip holds one month of TDS, not the year.
- Employee name spelled unlike the Aadhaar or bank account, which stalls a loan desk.
- A stamp with no signature, or a signature with no company name.
- A password-locked scan that the employee cannot forward to a bank.
- Using this one-off PDF as the only payroll register, with no backup of how PF was computed.
If a line is zero, leave it visible as zero rather than deleting the head. Reviewers look for missing PF. A zero that is meant is clearer than a hole. Rounding also bites: if the bank pays paise and the slip rounds to a rupee, write a one-line note. Do not let a 40-paise gap look like a theft.
For a longer checklist, keep the month-end payroll checklist (internal placeholder) next to your attendance lock. If a dispute is already open, reprint from the same workings. Do not “fix” history on the PDF without a note.
Frequently Asked Questions
The accordion in Salary slip generator FAQs covers payslip versus salary slip, salary certificates, PF, ESI, professional tax, income tax, gross and net on this tool. The short questions below are extra. They are not copies of that list.
How many months of salary slips does a bank usually want?
Many Indian lenders ask for the last three months. Some ask for six. Always send the same months as the bank statement you attach, so credits line up.
Who should sign the salary slip?
An authorised person from the employer: HR, finance, or a partner. The stamp should match the company name on the letterhead. This site does not sign for you.
Is a PDF payslip valid if we never print it?
Digital slips are widely accepted when they come from the employer and can be opened as a normal PDF. A WhatsApp crop with no company name is weaker. If a desk insists on paper, print the A4 file.
What if an employee loses a payslip?
Issue a duplicate for the same month. Mark it as a copy if your policy says so. Do not invent a new net pay. If you use stored payroll, reprint from the run instead of typing the month again.
Does a salary slip replace a joining letter?
No. The joining letter (or offer) states role and pay at hire. The slip states one month after work. Keep both. For related reading, see salary slip versus Form 16 (internal placeholder) and contact ZemERP if you want payroll in one login.
Should we issue a salary slip to a freelancer?
No. A freelancer is paid against an invoice, not a payroll run. A payslip would misstate the relationship for PF, ESI and tax. Pay the bill, keep the GST invoice if it applies, and leave the salary slip for people on the rolls.
