What is an Offer Letter
An offer letter is a written job offer on company letterhead. It names the candidate, the designation, the proposed joining date and, often, compensation. It is a proposal. It is not proof that the person already works with you.
Indian offices also say job offer letter, offer of employment, employment offer letter or appointment offer. Those labels usually mean this pre-joining sheet, not an appointment letter and not an experience certificate. Human resources writes it after interviews, when the company is ready to put a role and a start date in writing. The candidate keeps a copy and replies in writing if they accept.
What a job offer letter actually does
A useful offer answers four questions in plain English: who is offering the role, as what, from when, and on what pay if you are ready to print a figure. It does not need to list every leave rule, laptop policy or canteen timing. Those belong in a handbook, a CTC annexure (internal placeholder), or an appointment pack after joining.
What it is not
A job offer letter is not a visa paper by itself. It is not a monthly payslip. It is not tenure. It is not an appointment letter. Filling this generator does not employ anyone; ZemERP does not become the employer. For stored candidate files across a roster, see HRMS software and the HRMS and payroll manual. Other free generators live on the business tools index.
Why Offer Letters are Important
Offer letters matter because they turn a verbal yes into a dated sheet both sides can keep. The company can show what was proposed. The candidate can resign from a current job with something in writing, not only a phone call or a chat screenshot.
Why candidates ask for a written offer
Resignation from a current employer
Many Indian employers will not accept a resignation until they see a new offer of employment. They want the legal company name, the new designation and a joining date they can calendar. A draft that still says “Candidate name” is not that sheet.
Banks, landlords and background checks
A lender that already has salary slips may still want one page that names the new role. A background-check vendor may ask for the same. They care that an authorised person signed it on letterhead, not which website drafted the sentences.
Why employers should still issue one
A record of designation and CTC
A dated job offer reduces later disputes about title, location or cost to company. If someone claims a grade you never offered, the signed letter is the file. Keep a copy with the joining papers, not only in a recruiter’s inbox.
Sending an offer does not replace background verification, an appointment letter, or payroll setup. Teams that skip the letter often renegotiate CTC the night before joining. Browse other free HRMS tools when you also need a payslip or an experience letter.
Offer Letter vs Appointment Letter
An offer letter is a pre-joining proposal. An appointment letter records employment once the person joins, or sits with joining formalities. They are not interchangeable. This comparison is a plain map for Indian HR, not a court opinion.
| Point | Offer letter | Appointment letter |
|---|---|---|
| When it is issued | After interviews, before the first day | On or after joining, or with joining papers |
| What it confirms | Role, joining date and, often, proposed pay | That employment has started on stated terms |
| Tense | Future: you are invited to join | Present: you are appointed |
| What it is not | Not proof they have joined. Not tenure. | Not a pre-joining proposal. |
Why the names get mixed
Some firms print “Appointment” on a sheet that is still only an offer of employment. Candidates then think they have joined. Banks get a paper that does not match payroll. Keep the title honest. This generator drafts an offer letter, not an appointment letter. For a longer appointment layout, see appointment letter format (internal placeholder).
Nearby papers that are also not an offer
An experience letter looks backward: they already worked with you. Use the experience letter generator for tenure. A salary slip is one month’s earnings and deductions after they join; use the salary slip generator. Relieving is an exit paper. Do not mix relieving lines into a job offer. For payroll across many staff, see payroll software.
Offer Letter Format
There is no single government form for a private-sector offer letter in India. A stable offer letter format still helps the candidate find a line fast. A4 portrait is the size most printers expect. English is widely read; a bilingual copy is fine if both sides say the same dates and names.
Usual order on an Indian job offer letter
- Company letterhead: logo, legal name, address and contact.
- Offer date on the right, and a short reference on some templates.
- Title such as Offer letter or Offer of employment.
- Salutation to the candidate.
- Candidate details and job details.
- Compensation, benefits, terms and joining instructions.
- Acceptance block, then HR signature and company stamp.
Templates on this generator
This page offers Standard, Corporate, Startup, IT Company and Manufacturing sheets. Facts stay the same. Heading, spacing and closing wording change. Pick one in the form; sample layouts are listed under sample offer letter templates. A longer layout note can live at offer letter format (internal placeholder).
Print A4. Keep the legal company name identical to bank accounts and GST records where those apply. A PDF from this page is named offer-letter and the candidate; it is a draft until an authorised person signs it.
What Should an Offer Letter Include
A typical Indian offer letter includes letterhead, candidate details, job details, optional pay, benefits, short terms, joining instructions, an acceptance block, and a signatory with a company stamp.
Company header and offer date
- Legal company name, registered or office address, and logo.
- Email, phone or website if you want them on the sheet.
- Offer date. Optional last date to accept, if the offer should lapse.
Candidate details and job details
Write the person’s real name, gender for pronouns in the body, designation, department, employment type, work location and reporting manager. Employment type should match the job: full-time, part-time, contract or intern. Do not call an intern a full-time hire on the letterhead.
Compensation and benefits
Annual CTC and monthly salary
Optional. State a figure only if you are ready to stand by it. Annual cost to company and monthly salary can both appear, or neither. A longer breakup can wait for a CTC annexure (internal placeholder). Do not copy PF or take-home into this letter; that belongs on a salary slip after joining.
Benefits line
Insurance, leave or other benefits you are actually offering. If nothing is agreed, leave the line off rather than inventing “as per industry” language that you cannot defend.
Terms, joining and acceptance
Short probation and notice if policy requires them at offer stage. Joining date, and optional instructions such as documents to bring or which gate to use. Then a candidate acceptance block, HR name, signature and company stamp. Match the stamp to the company name on the header.
Common Mistakes
Most broken job offer letters are data problems, not design problems.
Dates and tense
- A joining date before the offer date, or no joining date at all.
- Present tense as if they already joined — that is appointment language.
- A last date to accept that has already passed, unless you mean the offer is closed.
Pay, names and letterhead
Copied or invented CTC
CTC copied from another candidate, a round number typed to make the sheet look full, or monthly pay that cannot come from the annual figure. Reviewers notice. Leave pay blank if it is not agreed.
Letterhead, stamp and file hygiene
- A designation that does not match what the interviewer promised.
- Company name spelled unlike the bank account or GST legal name.
- A stamp with no signatory, or a signature with no company name.
- Using this one-off draft as the only offer register, with no copy in the hiring file.
- Pasting a sample from the internet that still names another city or another firm.
If a line is unknown, leave it off. For joining and payroll after they accept, keep the HRMS and payroll manual next to the joining checklist (internal placeholder).
How to Create an Offer Letter
You can type a job offer letter in a word processor, pull one from HR software, or use the form on this page. The form is for one person. It does not log in to your candidate master. The numbered steps below are the homework around the clicks; the six cards under how to create an offer letter match the buttons on the form.
Steps to draft a professional offer letter
- Choose a template: Standard, Corporate, Startup, IT Company or Manufacturing.
- Fill company letterhead: legal name, address, optional logo and the offer date.
- Add candidate details and job details from the hiring file, not from memory.
- Add optional CTC, benefits, probation, notice and joining instructions. Leave blanks if unknown.
- Add the HR name and, if you have them, a signature and company stamp. They stay on this device.
- Read the live A4 letter, then download the PDF or print only the letter.
Before you type
Gather designation, joining date and CTC from the offer discussion. The preview will not invent them. If pay is not final, leave CTC blank so the employment offer letter does not invent a number. Check that the joining date is on or after the offer date; this form will not accept the reverse.
Review, PDF and print
Names, dates and stamp
Read every line for names, dates, HR signature and stamp. Download an A4 PDF named offer-letter and the candidate, or use Print so only the letter leaves the printer. Then the company issues the signed sheet.
For many offers a month, use HR and payroll in ZemERP instead of twenty browser tabs. This page is a one-off job offer letter online, with no registration.
Benefits of Digital Offer Letters
A digital offer letter is still a company document. The difference is how you draft, check and store it. The cards further down this page list why this free generator is easy to use. This section is why a digital draft beats a half-typed Word file on a shared drive.
Speed without losing the facts
Letterhead, candidate block, compensation and joining lines update on a live A4 preview as you type. You are not rewriting paragraphs each time CTC changes by ten thousand rupees. Switch templates without retyping the name.
Fewer copy-paste errors
A structured form makes it harder to send a letter that still says “Dear Candidate” or a joining date before the offer date. PDF download and browser print keep logo, signature and stamp on the same sheet the candidate will see.
What stays on the device
On this page, drafts stay in the browser. Nothing you type is uploaded to ZemERP. That is useful for a one-off hire. It is not a staff-wide offer register. For a roster, store offers inside HRMS software, not in twenty downloads on a laptop.
A PDF is not a signature. An authorised person still signs. Background checks and payroll still happen after acceptance.
Best Practices
Best practice for an Indian job offer letter is dull on purpose: real names, real dates, optional pay only when agreed, and a signatory the company can stand behind.
Practices that survive a review
- Write the legal company name exactly as on the bank account and GST records where those apply.
- Use future tense. They have not joined yet.
- Put a calendar joining date, not “as soon as possible”.
- State CTC only if you will honour it. Otherwise say pay will be as discussed.
- Keep probation and notice short at offer stage. Point to policy for the rest.
- Have HR, a founder or a hiring manager sign, with a stamp that matches the header.
- Send a PDF or a signed print, then file a copy with the candidate record.
- If terms change, issue a revised offer. Do not silently edit a PDF they already used to resign.
Tone by organisation type
A startup can sound warmer. A plant can say “report to the unit”. An IT firm can mention confidentiality without pasting a full NDA into the letter. The facts — name, role, date, pay — should still match across Standard, Corporate, Startup, IT Company and Manufacturing templates.
Acceptance
Leave space for the candidate to sign. A last date to accept is optional. If you set one, pick a real day and watch it. An expired validity line on a letter you still want them to join looks careless.
Legal Considerations
This is practical hiring guidance for Indian private employers, not legal advice and not a substitute for counsel. Labour law, shops and establishment rules, and contract practice vary by state and by the kind of work. ZemERP does not employ the candidate and does not certify that a draft is enforceable.
What filling the form does — and does not — create
Completing this offer letter generator produces a draft on your screen. It does not become a contract merely because you clicked Check details or Download PDF. The company issues the offer when an authorised person signs it and sends it. Some Indian disputes treat a signed offer plus acceptance as a binding promise; others turn on appointment papers, standing orders or a separate employment contract. If you will treat the letter as a contract, have a lawyer read it.
No official private-sector format
There is no single ministry template that every private employer must use for a job offer letter. Keep A4, English or a bilingual pair with matching dates, and the legal company name. A decorative border does not replace a joining date the candidate can actually meet. See employment contract notes (internal placeholder) if you need a longer agreement than this short offer.
Bonds, non-competes and annexes
Service bonds and garden leave
Mention a service bond or garden leave only if policy requires it at offer stage and you are ready to stand by the line. Long annexes, liquidated damages and non-compete wording belong with counsel, not in a one-page generator draft.
Checks that sit beside the letter
Background verification, identity documents, and workplace policies such as POSH still sit beside the offer, not instead of it. Statutory benefits such as PF or ESI, where they apply, usually start with employment, not with a pre-joining proposal. Payroll can still issue a salary slip after joining.

Who this guide is for
Audience
Indian HR coordinators, founders, and hiring managers who need one offer on letterhead. It is written from day-to-day hiring files, not from a statute book.
It is not legal advice and not an appointment letter. Download the A4 PDF or print the letter, then the company issues the signed sheet. This website does not sign for you.

More offer letter questions
The accordion in Offer letter generator FAQs covers job offers, templates, acceptance, joining letters, appointment letters, salary offers and CTC. The questions below are extra. They are not copies of that list, so they are not in the FAQPage markup.
Can we issue an offer letter for an intern?
Yes, if you are offering a real internship with a joining date. Choose intern as the employment type so the letter does not read as a full-time job. Do not issue this letter for an unpaid campus visit.
Does the letter have to be in English?
English is the version most candidates and banks read without a translator. A Hindi or bilingual copy is fine if the dates and names match. This generator prints in English.
What if we change CTC after sending the offer?
Issue a revised letter with the same joining date unless that date also changed. Mark it as a revision if your policy says so. Do not silently edit a signed PDF the candidate already used to resign.
Should we mention a service bond or garden leave?
Only if your policy requires it at offer stage and you are ready to stand by the line. Long legal annexes belong with counsel, not in this short draft.
Can ZemERP store these offers for every hire?
This page drafts one letter in the browser. For a staff-wide HR file, contact ZemERP or start from HR and payroll.
